    Responsibilities

    Must be diplomatic, detail-oriented, efficient, devoted to quality output, able to work independently as well as in a team environment, possess the organizational skills to prioritize tasks and handle multiple deadlines, have excellent communication skills, and have a thorough knowledge of contracting, data management, and coordination of multiple tasks for multiple departments simultaneously.

    This role will:

    • Request proposals from Consultants and placing the proposals in the project folders;
    • Enter project-specific information in the AIA Contract template and finalizing the document within the AIA cloud source;
    • Redact the Owner Agreement and send for review by In-House Counsel and the Project Manager;
    • Forward completed but not executed contracts to the Consultant or Client, following up until signatures are received, and providing same to the Project Manager to execute on behalf of the firm;
    • Ensure the Agreement Tab in Deltek is updated with the appropriate information and that files are stored in Deltek and in the project folder;
    • Request and update Certificates of Insurance for all vendors with a main priority on active vendors (Consultants) and tracking the expiration of those certificates including professional liability;
    • Create, add and update various tabs in Deltek firm-wide including proposal and contract information relating to both consultant and owner; may involve requests to the Project Manager for missing information;
    • Train new users on Docusign, including the creation of each account for users throughout the firm;
    • Provide support and training to Contract Assistants, including following up with missing information or documents;
    • Small Business Liaison support - outreach to small businesses and tracking potential small businesses to assist with projects;
    • Update Consultant roles in Deltek;
    • Review the professional liability reports in Deltek, consistently reviewing all active projects throughout the year, tracking and updating Consultant information within the system;
    • Assist with projects as required;
    • Provide support to Project Managers to determine if contract process outlined above are needed on their projects;
    • Assist with expense reports as requested;
    • Assisting with offsite storage for local office, including inventory control and requesting needed items;
    • Providing administrative support to local office when needed including to various departments and other offices throughout the firm.

    Qualifications

     

     

    Qualifications include:

    • Bachelor’s Degree or equivalent experience preferred; experience in an architecture or engineering firm encouraged;
    • Paralegal experience and certification will be considered;
    • Strong computer skills are essential including proficiency in Microsoft Word, Excel, and Outlook;
    • Familiarity with construction industry project management software having the capacity to master industry-specific programs including but not limited to Deltek, and AIA Contract Documents;
    • Excellent writing and verbal communication skills;
    • Strong organizational skills;
    • Ability to work within a team environment;
    • Ability to administer multiple projects concurrently;
    • Potential travel to office locations in North Carolina, South Carolina, and Georgia; and
    • 1-3 years of solid and progressive work history, with experience administering construction contracts.
